Job Overview/Summary:

We are seeking a dedicated and personable Medical Front Office Executive to join our team. This role focuses on delivering exceptional client service, ensuring smooth front office operations, and supporting clinical staff with administrative and patient coordination tasks. You will play a vital role in creating a welcoming environment and maintaining operational efficiency while promoting our commitment to community, culture, and professional growth.

Responsibilities:

  • Maintain client charts and ensure all information is accurate and up to date.

  • Make welcome and confirmation calls, providing friendly and enthusiastic customer service.

  • Manage clinic schedules for walk-in/curbside appointments, scheduled appointments, and potential clients.

  • Process stock and custom orders, conduct weekly inventory audits, and maintain accuracy.

  • Maintain accurate cash and bank deposit records; complete end-of-day reports and settlements.

  • Keep the office environment clean, inviting, and professional.

  • Develop basic knowledge of hearing aid technology to perform cleaning and minor repairs.

  • Troubleshoot hearing aids via phone or in person; conduct cleaning and checks.

  • Stay informed about current HearUSA products, promotions, and pricing.

  • Assist with HearAssist and remote care services as needed.

Primary Skills:

  • Customer service excellence and professional client interaction.

  • Strong organizational, time-management, and multi-tasking abilities.

  • Proficiency in computer use, including scheduling software and MS Office Suite.

Secondary Skills (Good to Have):

  • Knowledge of hearing aid technology and basic troubleshooting.

  • Experience handling cash deposits and end-of-day reconciliations.

Qualifications:

  • High School Diploma or equivalent.

  • Previous experience in customer service and office administration.

  • Excellent oral and written communication skills.

  • Ability to establish and maintain professional rapport with clients and co-workers.
