Job Summary:
The Document Management System Administrator is responsible for providing support for NetDocuments, a cloud-based document management application. This role includes executing client upgrade testing, adjusting system configurations, overseeing third-party integrations, managing software updates, advocating for system enhancements, and maintaining system documentation. Additionally, the Administrator provides support to users firmwide, troubleshooting incidents, resolving user issues, contributing to training efforts, and supporting operational needs.
 
Duties and Responsibilities:
Resolve cabinet, workspace, and document access issues, working with both Service Desk personnel and end users.
Troubleshoot NetDocuments errors, interpreting error messages and diagnosing issues with integrated applications (e.g., MS Office, Outlook). Coordinate with vendors and internal technical resources.
Assist with the evaluation, testing, and implementation of new NetDocuments functionality.
Provide support for NetDocuments including updates, configurations, integrations, enhancements, and troubleshooting.
Support related systems and integrations, such as Intapp Walls, Litera CAM, SSRS reports, and various reporting tools.
Research new applications and features, formulate recommendations, and create implementation plans.
Establish and maintain appropriate test environments in collaboration with other technology teams.
Evaluate, test, and integrate new software and upgrades. Identify web server requirements as needed.
Define desktop packaging requirements and prepare applications for installation using standard tools and methodologies.
Monitor DMS environment components for security, performance, and stability.
Interface with NetDocuments and other vendors to resolve problems.
Maintain awareness of new technologies and trends.
Provide after-hours on-call support and work during monthly maintenance windows as needed.
Generate ad-hoc reports using SQL queries.
Perform document imports and exports, including generating metadata spreadsheets.
Review training materials for accuracy and completeness.
Document processes and procedures.
Perform other duties or special projects as required.
 
Required Qualifications:
Bachelor’s degree or equivalent combination of education, training, and experience.
Experience with NetDocuments or a cloud-based information management system.
Experience troubleshooting integration issues with MS Office and Adobe Acrobat.
Excellent troubleshooting skills.
Effective communication skills, especially with senior-level users.
Ability to develop technical documentation for both technical and non-technical audiences.
 
Preferred Qualifications:
Professional services industry experience supporting cloud-based applications.
Experience with PowerShell and other basic scripting languages.
Experience supporting applications implemented through Citrix.
Ability to write basic to moderate SQL scripts.
